Subject: Challenge Registration Closed and Next Steps
Importance: High

Dear Challenge Organizers,

We hope you are doing well and excited that registration for the Challenge is officially closed. All your registration data sheets have been finalized and made stagnant. While you are now welcome to make notes, edits, or changes to your sheet as needed, please do not add any new participants without first reaching out to us. If you’ve been working with a contact who missed the registration deadline, let us know so we can guide you through the necessary steps to include them.

In light of recent weather events and school closures, we’ve extended the Team Submission deadline for Team Coordinators to January 22nd. Throughout this week and next, we’ll be uploading Team Composition Sheets (listing each student’s name and team assignment) and Participant Agreements into your folder as they are cataloged.

Your next step is to connect with your Team Coordinators to share information about your Regional Challenge. To help with this, we’ve attached an email template you can customize as needed.

Lastly, don’t forget about the Day of Training next week, January 22nd at 1 PM EST

! Many of you have asked if some of your volunteer leads can join, and we’re happy to confirm that they are welcome to attend. A recording of the training will be sent out on Thursday for anyone unable to participate live.

Thank you for your dedication and hard work! We truly appreciate everything you do to make this program successful.

Best regards,

Subject: Registration Countdown: Encourage Teams to Join Before December 20th

Dear Challenge Organizers,

As we approach the December 20th registration deadline (Registration Link: https://bit.ly/4eryk0U), we want to thank you for your continued efforts in recruiting teams for the Challenge! While registration officially closes on the 20th, we will leave it open during the holidays and into the new year. If anyone asks about registering after the deadline, let them know you’ll make an exception for them—it’s our little holiday secret! 😉

Here are a few important reminders:

  1. Continue Recruiting: Feel free to keep reaching out to potential teams over the holidays. Every new team is a step closer to an even more exciting Regional Challenge!
  2. Stay Engaged with Registered Teams: Touch base with your Team Coordinators with a quick “Happy Holidays” message. Let them know how excited you are to celebrate them and their students at the Regional Challenge.
  3. Check Your Registration Sheet: Be sure to refresh your sheet regularly to see the most up-to-date list of registrants.

Finally, a reminder that today is our last Team Coordinator training of the year—a live Q&A session at 4 PM EST. This is a great opportunity for coordinators (or potential coordinators!) to ask questions and get ready for the Challenge. Feel free to invite anyone you think may benefit from attending.

Thank you for everything you do to make the Challenge a success. Wishing you and your families a joyous holiday season!

Warm regards,

Hi Challenge Organizers,

I hope you’re all doing well! Just a few quick reminders as we build momentum for the You Be The Chemist Challenge®:

  1. Team Coordinator Training: Our first training is happening today at 4 PM EST. If any potential participants have additional questions, encourage them to join the live session. While it will be recorded and shared later, attending live gives them the opportunity to ask questions in real time and connect with other Team Coordinators from across the country.
  2. Keep an Eye on Registration: Remember to check your registration on the Organizer Website to see which teams have committed to your Regional Challenge. We typically see an increase in registration after our TC training.
  3. Pre-Event Forms: Don’t forget to submit your Pre-Event Form! Not ready to submit, but you have tentative information you’d like posted on our website, feel free to send it my way so Team Coordinators can start preparing.

RECRUITMENT TIP: 👉 As we near spooky season, here’s a fun way to recruit! Instead of traditional trick-or-treating, why not drop a “treat” at five nearby middle schools? Leave them a Challenge brochure and invite them to join your Regional Challenge!

Let me know if you have any questions or need assistance. Thanks for all your hard work!

Upon your submission of the agreement, you will receive access to the organizer website via the confirmation email, so be sure to follow the steps on Submittable to ensure you receive notifications from the platform.

  • If you plan to have a Co-Organizer, only the person who wants to be the Point of Contact on our website needs to fill out the agreement. There will be a place to fill in co-organizer information.

  • Simultaneously, teams will create videos tackling an innovative solution to a community-based challenge.
  • Regional Challenge and video scores will be combined to determine State Winners.
  • The top 5 state winning teams will advance to the National Challenge, where they’ll present their solutions to expert judges and compete for scholarships!

We’re thrilled about the upcoming Challenge season and believe your participation will make a significant impact. If you have any questions, please don’t hesitate to reach out. We look forward to potentially working with you this year!

Thank you for your consideration,

Hello, Challenge Organizers-

Some of you have asked if there is a way to add your contact information to our new one pager and we have made it happen!

Please see the attached Word Document where the white text can be added to include whatever info you would like. Then you can save it a PDF and send it to whomever you would like.

Keep the great ideas coming!

Hey Challenge Organizers,

I hope this email finds you well. At CEF, we heard your feedback about starting recruitment earlier, but want to respect your time and efforts.

Attached to this email are two templates for your use. One email is for educators and the other is for school administrators. Feel free to edit and use however you feel necessary, populate with the contacts you already have, and send. We hope that educators are a little more receptive this time of year and will follow the steps to join our mailing list so CEF can keep them engaged throughout the summer and until registration opens in October.

I am also attaching our new one pager for your reference. You do not need to include this in the email as the template has the one pager link at the bottom.

As always, reach out with any additional suggestions you have on ways CEF can support you and your Challenge recruitment efforts.
